Invoicing

Invoice the day you finish, and let Galaxera do the chasing.

The problem

Chasing money is the worst part of the job, so it doesn't get done.

Invoices go out late because the paperwork piles up. Then they go unpaid, and chasing means an awkward phone call you keep putting off. Meanwhile you've already paid for the materials. The work was profitable — the cash flow wasn't.

How it works

From start to done.

  1. Invoice from the job

Turn a finished job straight into an invoice — the work and materials are already there.

  2. Send it

A branded invoice goes out by email or text with your payment details and terms.

  3. Reminders go out

Overdue invoices get chased automatically by email and text on a schedule you set.

  4. Mark it paid

Marking an invoice paid stops the chasing immediately, so nobody gets nagged after paying.

Everything you get

Built to do the whole job.

Invoice straight from the job

The work and materials are already there — turn a finished job into an invoice in a tap.

Branded PDF, sent your way

Your logo, your terms, delivered by email or text with a hosted link.

Chases the money for you

Overdue invoices get followed up automatically on the schedule you set.

Chasing stops on payment

Mark it paid and the reminders end immediately — nobody gets nagged after paying.

They can tell you they have paid

Customers tap to say the transfer has gone through, and you get notified.

Your bank details on every invoice

BSB and account on the invoice and the hosted page, so there is no excuse.

Xero both directions

Invoices flow to Xero, and payments reconciled there mark it paid here.

See what is owed at a glance

Everything in invoicing

The full list.

Raising the invoice

  • Turn a finished job into an invoice without re-typing anything
  • Invoice straight from an accepted quote
  • Or raise a standalone invoice for work that never had a quote
  • Materials and labour from the job come across as lines
  • Built on the server, so a long job never truncates the line list
  • Save as a draft until you are ready to send

Tax and terms

  • GST follows your registration status — nothing charged if you are not registered
  • The tax label changes with it, so the document is never misleading
  • Payment terms prefilled from your settings
  • Your bank details and payment reference printed on the invoice
  • Deposit and balance handled as separate invoices

What the customer receives

  • A branded PDF with your logo, colours and ABN
  • Sent by email or text, or both
  • Opens on a private link — no login required
  • A separate receipt document once it is paid
  • The PDF is a print of the same document they saw on screen

Getting paid

  • Overdue invoices are chased automatically on your own schedule
  • Default ladder is 7, 14 and 30 days after sending
  • Chases go by email and text, in your wording
  • Chase it manually and the next scheduled one steps aside
  • Anyone who has opted out of messages is skipped
  • Marking an invoice paid cancels every remaining chase

Books that stay straight

  • Invoices push into Xero as you send them
  • When you reconcile the payment in Xero, Galaxera marks it paid
  • That cancels the chase, so a customer who has paid stops hearing from you
  • Outbound push also available to QuickBooks and MYOB
End to end

Invoicing, start to finish.

Same day

Finish the job. Send the invoice. Before you leave.

The invoice is built from the job you just finished, so there is nothing to re-type at 9pm.

  • Work and materials carried from the job
  • Branded PDF plus a hosted link
  • Email, text, or both
The chasing

It asks for the money so you do not have to.

Set how many days after sending, and how often. Galaxera follows up by email and text in your wording, and stops the second you are paid.

  • Multiple reminders on your own schedule
  • Email, SMS, or both per reminder
  • Skips anyone who opted out
Reconciled

Your books stay matched without double entry.

Connect Xero once. Invoices you raise here appear there, and a payment reconciled in Xero marks the invoice paid here — which cancels the chasing.

  • Two-way sync, not just a push
  • Payment status comes back automatically
  • Enter the invoice once
What it means for you

Why it's worth it.

Get paid sooner

Same-day invoicing and automatic reminders shorten the gap between finishing and being paid.

No awkward phone calls

The follow-ups go out on their own, politely and on time, so you don't have to make them.

Nothing slips

You can see what's owed and how overdue it is without digging through a folder.

Worth knowing
  • Customers pay by bank transfer or cash. Galaxera doesn't take card payments on your behalf.
  • Two-way payment sync is Xero only. QuickBooks and MYOB receive invoices but don't send payment status back.
  • Xero marks an invoice paid only when it's settled in full — a part payment won't stop the chase early.
Questions

Before you ask.

Can customers pay by card?

Not at the moment. Invoices carry your bank details for transfer, and you can record cash payments. Card payment isn't part of Galaxera today.

What happens when someone pays?

Mark the invoice paid and the reminder sequence stops straight away. If you use Xero, payments recorded there sync across so you're not chasing an invoice that's already settled.
